This Refund & Returns Policy explains how cancellations, refunds and returns are handled when hiring instruments and equipment from Musical Instrument Hire Co LTD (“we”, “us”, “our”). This policy should be read alongside our Terms & Conditions of Hire and does not affect your statutory rights under UK law.
1. Before Your Hire Starts (Pre-Dispatch / Pre-Collection)
You may cancel your hire order at any time before the equipment has been dispatched or collected.
A full refund of any amounts paid will be issued.
Refunds will be processed within 14 days of cancellation.
Refunds will be made to the original payment method unless otherwise agreed.
2. After Equipment Has Been Delivered or Collected
Once the equipment has been delivered or collected and the hire period has started, the hire is considered to have commenced.
Consumer cancellation rights (distance sales)
If you are hiring as a consumer and placed your order online or by phone, you may have a statutory right to cancel within 14 days of receiving the equipment, unless the hire agreement is for a fixed minimum term or otherwise exempt.
Where a valid cancellation applies:
You must notify us clearly of your wish to cancel.
The equipment must be returned promptly and in good condition.
You will be responsible for return costs unless the item is faulty.
Any refund due will relate only to the unused portion of the hire, calculated from the date the equipment is received back by us.
Refunds will be processed within 14 days of return or proof of return.
3. Early Termination of Hire (Non-Statutory)
If you choose to end the hire early outside of statutory cancellation rights:
Hire charges already paid are non-refundable unless otherwise agreed.
Any minimum hire period specified in your agreement will still apply.
Deposits may be retained or offset against outstanding charges, in line with our Terms & Conditions.
4. Faulty, Damaged or Incorrect Equipment
If equipment arrives faulty, damaged, or not as described:
You must notify us as soon as possible, ideally on the day of receipt.
We will arrange a repair, replacement, or suitable alternative where reasonably possible.
If this is not possible, you may be entitled to a refund for the unused portion of the hire.
No deductions will be made for faults not caused by misuse, neglect, or accidental damage.
This is in line with your rights under UK consumer law.
5. Returns at the End of Hire
At the end of the hire period:
Equipment must be returned on or before the agreed return date.
Items should be packed securely, using original packaging where possible.
Late returns may result in additional hire charges.
Damage beyond fair wear and tear, missing items, or excessive cleaning may result in deductions or additional charges, as set out in our Terms & Conditions.
6. Refund Method and Timescales
Refunds are issued to the original payment method.
We aim to process refunds within 14 days of the relevant event (cancellation confirmation, return received, or issue resolution).
If you believe a refund is overdue, please contact us promptly.
7. Business Hirers
If you are hiring on behalf of a business, school, organisation or other non-consumer entity:
Statutory consumer cancellation rights may not apply.
Refunds and returns are governed by the agreed hire contract and our Terms & Conditions.
